Microsoft 365 Copilot is the work-grounded productivity layer across Word, Excel, PowerPoint, Outlook, Teams, and related apps. It is easy to buy seats and hard to realise value. This post stays with what Learn documents and how 12 Panes sequences control.

What it is

Learn describes Microsoft 365 Copilot (Premium) as the full add-on experience: priority access, deep Microsoft 365 app integration, and grounding in organisational data through Microsoft Graph, Work IQ, Copilot Search, and semantic indexing. Microsoft 365 Copilot (Basic) covers more limited in-app experiences without the full Premium package. Copilot Chat (Basic) remains the enterprise chat baseline on eligible Microsoft 365 licences, primarily web-grounded unless the user supplies work content or uses a metered agent.

Access points include m365copilot.com, the Microsoft 365 desktop app, and the apps themselves. In-product labels help users see which experience they have.

What it does

With Premium work grounding enabled, Copilot can reason over emails, files, meetings, calendars, teams, and organisational relationships the user is already allowed to see. In-app features draft and rewrite documents, analyse spreadsheets, build presentations, summarise mail and meetings, and support Forms. Agents extend Copilot for scoped workflows. SharePoint Advanced Management helps reduce oversharing and clean inactive sites so answers improve. Microsoft Purview classifies content and can review prompts and responses. Usage reports show engagement for adoption follow-up.

Work IQ can be switched off; when off, responses are not enriched with Graph and Work IQ work context. That control matters for Steady.

Why you should care

Board. Premium seats are a capital and culture decision. Ask for owner, cohort, and value case — not only a deployment date.

CISO. Permissions are the product. Restricted content discovery and sensitivity labels are readiness work, not polish.

CFO. Compare Premium, Basic, Chat, and pay-as-you-go agents. Reclaim shelfware before the next renewal.

Adoption. In-app habits differ from chat habits. Train in the flow of work; measure task change.

  4. Enable usage reports and organisational messages for coaching, not surveillance theatre.

Communication needed

Benefits and risks

Benefits. Context-aware drafting and meeting catch-up when content hygiene is good. Admin analytics for reclaim. Extensibility into agents when governance is ready.

Risks. Overshared sites surface in answers. Unowned seats. Confusion between Chat and Premium. Premature agent autonomy.
